CAMPIE PARENT COUNCIL NEWS

Hello everyone and welcome to the first newsletter from the new Campie Parent Council. After a few meetings we now have a full council and something to report back to the Parent Forum.

Parents can contact the Council through a variety of means. Regular newsletters will be issued, we will be posting information on the noticeboard at the school gate, Council members can be contacted and a pigeonhole will be set up at the school office. We hope to set up a blog on the school’s website. All campie parents and carers are encouraged to become involved in school life.

One of our first decisions has been to donate £155 to the Pupil Council. This cash, and a further £500 which will go to the Parent Council, was leftover from last year’s PTA.

We have also decided to continue printing school calendars, which will be customised by the children and on sale from December at the cost of £1. We would like to encourage everyone to buy their kids’ calendars, they’re really very useful and at this early stage we need the cash!

The council is planning a fundraising Table Sale on January 26, and are looking for volunteers to help out. If anyone would like to take a table then watch this space. We are also planning a kids Valentine’s disco on Thursday, February 14, again helpers will be needed. More details on both events to follow.

Two important sub groups have been established to deal with fundraising and communications. We will soon be looking for anyone interested in joining these groups to help. The idea behind the Parent Council is to include as many people as possible, and any contribution will be welcomed. If you have a great fundraising idea, but not the time to see it through please pass this on, and we are always looking for volunteers to help at all of our events. There are lots of other ways for parents to help out at the school, and details on this will be given as required.

REPORT OF PARENT COUNCIL MEETING

Meeting opened by Ms McCall giving overview of agenda. Copy attached.

Sheena McDonald explained ex P.T.A accounts which are still with Auditor. Main Business being that accounts need to be signed off.

Discussed next were the fund raisers “Calendars & Treasure Hunt” being the
biggest fund raisers in the school.

Kate King explained £200.00 contribution went to P.T.A/School Board farewell
party, as a thank you to all the people who contributed.

1 outstanding cheque balance would be £655.00.
£500.00 will be handed over to get new Parent Council up & running.
Proposed to give balance to Pupil Council. Beth will take this to Pupil Council
& they will feed back.

Kate King queried story sack money for P1/Nursery, agreed that money was mainly used for P1 so wording will be changed.

Agreed that signing off P.T.A accounts will be done by ex P.T.A Chair Kate,
ex Treasurer Sheena & ex Secretary Emma.
Concensus was that accounts don’t have to come back to Parent Council.
Once we know new Office Bearers, Ms McCall will facilitate the above.

Talk from Val McIntyre: Principal Officer Head Officer to roll out new Parent Councils.
No meetings can be held without Head Teacher or her Representative present.
Spirit of act:work in partnership with school.
Parent Council decide what they want for children in line with school.
Council provide budget.
Minutes should be taken at all meetings and copies sent to Val McIntyre.
Budget allocation of £280.00 as we are a large Primary School.
This will be held centrally in J.M.H & can be claimed with claim form.
Spent on administration and training £160.00 + £120.00 for this year only.
Budget cannot be used for hospitality.
Council have agreed to pay for insurance for all new Parent Councils “This year
only”.
A refund can be claimed for any insurance already paid by old P.T.A Kate King
can contact Judith Gillespie.
Insurance is in place & for additional £6.00 we can obtain extended liability cover for any person who enters the school. Insurance is with S.P.T.D.

Training: Council provides training & recruitment courses necessary for the
appointment of S.M.T staff, if you want to sit on the appointments panel.
Strongly advise that 3-4 people do this in a school of this size. Spaces are
available in January. Ms McCall asked if we could book 4 places and Val agreed for February.

New procedures for appointing S.M.T.
2 Parent members
2 Elected members (1 local area )
1 Director/Head of Education.
1 Parent member will be invited to meet with Director/Head of Education to look at long leat to make up short leat(all members of panel must undertake training)

Parent Council – set up action plan. Packs being sent out. Work in partnership
with school to create action plan.

Val commented on how large our group is for a committee, would it be difficult to manage meetings?
Ms McCall replied working group came up with 24 places.
Sub groups etc will be formed.
Val & Ms McCall said it was good to see so many interested parents.
Ms McCall said that Parent Council will have to monitor this year & see how
Constitution works & if any changes should be made.

Val: Cluster meetings January-March where Director/Head of Education will answer questions/share vision of role of parents working with schools.
Strategic guidelines available if we want to use them.
Things to think about :information on school website for wider community.
Advised on looking for Office Bearers. Clark independent of Parent Council can take minutes. Consultation with school Head Teacher strongly advised.
Bank account needs 3 signatories – 2 for any 1 transaction.
Induction training available.
We must get Office Bearers in place tonight to enable all information to be
shared with Council.

Useful tips: Val will email these to new Office Bearers.

Ms McCall: Sub groups will work & bring decisions for approval to main Parent
Council. Sub groups cannot make decisions on their own. Head Teacher will make formal report to Parent Council once per year.

Dates for meetings, currently being a Thursday is up for debate. Not normally a
meeting in December but we need to be up & running.
Suggested dates for new 2 meetings: Thursday 22nd Nov & Thursday 6th December,
Dates agreed & time kept to 7pm.
Local Councillors should be notified of all meeting times & dates. They can attend in a non voting capacity.There are 3 local Councillors. They could rotate attendance, we were advised to invite all 3 to show impartiality.
They are Councillor McNeill, Councillor Williams & Councillor Turner.

Other matters
Councillor opted place?
How to make meeting interesting for Pupil Council member.
Staff members would be 8, rota worked out for 2 to attend if in agreement or should it be 3?
There is a good range of staff across the school.
Musselburgh Grammar: Ronnie Summers trying to find a senior pupil to attend.

Parent Council agreed to keep size of group as it stands & to get going.

2 Parents we contacted are still interested in joining, 1 other (Carol Halliday)has dropped out.
Do we fill the place – Nursery? Agreed to leave it as it stands.

People interested in being Office bearers speak a bit about themselves.
Group will find out about each other at another meeting.

David Wilkie & Gaynor Allen both interested in chair, name drawn from hat.
No separate Office Bearers of sub groups.
Secretary will deputize for clerk.
Office will be held for 1 year.

Kate King concerned that we have no fund raising or teams yet.
Ms McCall states that we shouldn’t worry about fund raising yet.
Funds should be taken from P.T.A account for calendars.
We need to monitor what we are generating(in money).
We must do fund raising event before Christmas.
Gaynor assured we will do calendars.

It was agreed that we would do 3 sub groups: Fundraising, Communication &
Special Projects. Special projects won't be started yet.

2 Groups will meet to put diaries together ie Fundraisers & Communication Groups.

We won’t be doing people post this Christmas.
Consultation & letters going out to parents suggesting parent evening could be
changed to Friday afternoons.
